Terms and Conditions

Functions involving live or recorded music are subject to a Performing Rights Society levy. For dances/socials/parties an additional £3 per event will be charged. All other classes or events will be £2 per session.

 

Casual bookings should be made at least 14 days in advance and should be accompanied by the full booking fee, plus a refundable deposit of £100  (£250 evening events) [ returnable within 21 days if rooms, toilets and kitchen etc. are left in a good order ] If events do not finish at agreed time deposit will not be returned.

Bookings for Children's Birthday Parties should be accompanied by a returnable deposit of £50 [returnable within 21 days if rooms, toilets and kitchen etc. are left in good order ]

Equipment hire charges will be made at £2 per session.

Cancellations should be notified in writing to the bookings officer. Deposits will be refunded as follows: 28 days prior to event - Full refund. 14 days prior to event - 50% refund. 7 days prior to event - nil refund.

The Management Committee reserve the right not to accept any booking.

Each room will be available for the use between the times indicated on the booking form. Please ensure that you take into account any setting up or clearing up times before submitting the form to the booking officer. Please ensure that you use only the room[s] booked otherwise you will be invoiced for using any additional rooms.

The minimum booking is for 1 hour.

The Management Committee reserve the right to make an additional charge for access to the Centre outside the normal opening hours. Bookings outside the normal opening hours should be agreed at the time of booking with the bookings officer and/or Management Committee

Please make cheques payable to Hilldene Community Association. Alternatively payments can be made directly to the bank. Details can be found at the bottom of the invoice.

Advertising banners can only be put up on the day of the booking, they must be promptly taken down. Please consider the position of any A-signs on the pavement to prevent any inconvenience or possible accidents to both pedestrians and road users.

PAT testing. All electrical appliances brought into the centre need to have a current portable appliance test certificate.

Car parking. The car park is for users of the centre only and all vehicles and their contents are parked at the owner's risk. The car park is locked immediately after the last booking. Vehicles left in the car park will be locked in overnight. Please leave the centre quietly. 

Alcohol. Please note that the centre is not licensed for the sale of alcohol. If you wish to have a licensed bar you must obtain a license. The licensing laws must be obeyed and last orders called 15 minutes before the end of the licensing hours to enable the bar to close promptly on time.

Emergency contact details. The telephone numbers for both the day and night caretakers are listed on the notice board opposite the kitchen.

Smoking. It is against the law to smoke anywhere within the centre.
